Role Title: Contract Nonprofit Accountant – Grants & Compliance
Engagement Type: 1099 Contractor
Reports To: CEO (with collaboration from Controller during transition)
Rate: $100-125/hour
Hours: Avg. 8 hrs/week; 15–20 hrs/wk. during peak periods (budget prep, audit, year-end)
Start Date: Ideally between mid-May and June 1, 2025
ROLE OVERVIEW
We are seeking a highly experienced, detail-oriented Nonprofit Accountant with deep expertise in grant accounting, OMB guidelines, and compliance reporting to support a national youth-serving nonprofit organization. This contractor will work closely with the CEO and transitioning Controller to manage financial reporting for grants, funder audits, allocations, and overall compliance.
This contract role is designed to streamline accounting tasks currently being handled by an executive-level CPA, reduce costs, and ensure high-quality, grant-aligned financial management. The ideal candidate will love digging into QBO, organizing reports, prepping for audits, and helping a mission-driven organization maintain strong fiscal systems.
SCOPE OF WORK
- Maintain and reconcile QuickBooks Online ledger
- Support monthly closeout and account allocations
- Create grant-specific financial reports and backup documentation for funders
- Review and reconcile payroll allocations across programs and cost centers
- Track allowable vs. non-allowable expenses and ensure accurate expense coding
- Provide audit preparation support (Single Audit, 990, state/funder audits)
- Assist in the development of the annual budget
- Collaborate on system improvements for financial and compliance tracking
- Support indirect cost tracking, timesheet documentation, and in-kind reporting as needed
IDEAL EXPERIENCE & QUALIFICATIONS
- CMA or CPA
- 5+ years in nonprofit grant accounting and compliance roles
- Deep understanding of OMB Uniform Guidance (2 CFR 200) and Single Audit prep
- Expertise in QuickBooks Online, Excel, and grant tracking systems
- Experience working with youth-serving or federally funded programs preferred
- Excellent attention to detail, deadlines, and documentation
- Ability to work independently and in collaboration with executive leadership
ENGAGEMENT STRUCTURE
- Contractor will retain the title of Controller for public-facing and grant purposes
- All hours worked must be documented with project/task details in monthly invoices
- Contractor must respond to communications and requested tasks within a reasonable timeframe (generally by COB and up to 24hrs) unless otherwise agreed in writing
- $125/hour contract rate
- Approx. 32–35 hours/month on average
- Peak periods may include 60–80 hours/month for 1–3 months/year
- Contractor will invoice monthly with clear time logs
- Initial 2-month onboarding review; 12-month agreement with potential renewal
SCHEDULING & RESPONSIVENESS EXPECTATIONS
- Contractor may work flexibly, but must be available during mutually agreed upon core hours for check-ins
- Contractor must notify CEO of any extended availability gaps (e.g., more than 48 business hours without response)
- In times of increased demand (e.g., audits, budgeting), schedule coordination will be clarified in advance to ensure responsiveness
TRANSITION & HANDOFF PLAN
- Contractor will receive onboarding from the current Controller/CPA
- Transition will include documentation of financial systems, grant files, and compliance calendar
- Controller will remain available as needed for consultation during Single Audit or funder audit season

Pay: $80.00 - $110.00 per hour
