MLA announces an immediate opening for a full-time Accounts Payable/Payroll Specialist position in the Towson office. Under the direction of the CFO, this position is responsible for the timely and accurate recording and processing of vendor invoices, check requests, and staff travel reimbursements for payment. The position performs general accounting and administrative duties, as well as assist with the preparation of year-end reports, annual audits, and other tasks. Tasks assigned to the Accounts Payable/Payroll Specialist may include any or all of, but are not necessarily limited to the following:
DUTIES & RESPONSIBILITIES:
- Process bi-weekly payroll for MLA and MCLA, the wholly owned subsidiary of MLA.
- Troubleshoot payroll issues with payroll processing service.
- Input data in accounting and payment software and ensure proper assignment of cost centers.
- Support daily receipts and bank deposits.
- Monitor Accounts Payable aging report and ensure timely payment of invoices.
- Administer accounting principles in accordance with MLA’s finance policy and procedure.
- Reconcile corporate credit cards, rent, and utilities. Prepare associated Journal Entries.
- Prepare accurate accounting reports, invoices, and check requests on an ongoing basis.
- Assist with budget preparation.
- Prepare annual Form 1099 and distribute to employees and the IRS.
- Identify and evaluate opportunities for continued improvement in accounting processes and procedures.
- Serve as the point of contact for office managers and administrative assistants for accounts payable matters.
- Interact and resolve accounts payable issues with MLA units, vendors, and other business contacts.
- Continue professional development and education through attendance at trainings and other programs sponsored by the Maryland Legal Aid.
- Perform other duties as assigned within the scope of the essential functions of the position.
QUALIFICATIONS:
- Experience in accounts payable and payroll is required for at least 3 years.
- Experience with Coupa finance and accounting software is preferred.
- Ability to use web-based applications and computer programs such as Office 365, including Word, Outlook, Excel, and PowerPoint.
- Excellent research, critical thinking, writing, and communication skills.
- Self-starter with the ability to juggle multiple priorities and meet regular deadlines in a fast-paced environment while balancing a full workload.
- Strong written and verbal communication skills and the ability to work independently and as part of a team.
- Ability to provide excellent customer service is essential.
- A Bachelor's or Associate's degree.
